Your Responsibilities:

Administrative & Site Management:

  • Manage the BGCP office and associated operations during program hours.
  • Greet, monitor, and track all members and visitors on site, including parents and volunteers.
  • Manage student sign-in and sign-out processes.
  • Answer all phone calls and return messages promptly.
  • Maintain office, first aid, and program supply inventories.
  • Ensure a neat, organized office space that fosters physical and emotional safety and exceptional customer service.
  • Create a positive work atmosphere, encourage teamwork, and facilitate constructive exchange of ideas with peers.
  • Manage daily snack and lunch processes (if applicable).
  • Participate in planning and executing special events as needed (if applicable).
  • Undertake other duties as assigned.

Enrollment, Attendance, & Data Management:

  • Manage site enrollment and daily attendance.
  • Enter all enrollment data in Salesforce, BGCP’s database.
  • Generate and communicate attendance and membership reports for site leadership staff and to meet ASES reporting requirements.

Student, Parent, & Outside Partner Relationships:

  • Build positive relationships with students in the program.
  • Support and maintain BGCP behavior standards and discipline policies.
  • Set high expectations for students and ensure compliance.
  • Supervise youth as requested, either in the office or as coverage for a classroom instructor.
  • Communicate with students and families regarding enrollment and attendance issues.
  • Greet and welcome parents into the program daily.
  • Communicate and disseminate information about upcoming events and activities to members, families, and the public, ensuring accuracy and timeliness.
  • Maintain positive relationships with all staff, students, volunteers, outside partners, as well as all visitors.
